Check the business you will invoice

Start with the full legal name and country of the buyer on the purchase order. Add its registered address, registration number, and website where available. If you are dealing with a distributor, group company, or purchasing office, clarify which legal entity owes the payment.

For example, a US manufacturer might receive an order under a familiar brand while the purchase agreement names a separately registered local distributor. The report should identify the intended legal entity; a familiar group name alone is not enough to define the request.

Information for your customer review

Depending on the country, company, and available sources, a report can include registration details, ownership, financial figures, payment information, public records, and a credit assessment. Use the source dates and stated limitations to understand the information in context.

Compare the report’s company name, address, and identifiers with your own documents. If the report concerns a different entity or leaves a key question unanswered, ask for clarification. A missing financial statement or payment reference should be treated as an information gap, not as a conclusion about future payment.

A report within your existing credit process

Use the report as an input to your company’s established review. Your team still decides its commercial terms and any further information it needs. A report is not a payment guarantee and does not replace your own experience with an existing customer.

If you are gathering information for a bank, insurer, or another reviewer, ask them what documentation and reporting periods they require before purchasing. This helps you specify the request without assuming that any report will satisfy every third party.
