Define what is at stake in this purchase
A supplier review should start with the proposed transaction. Write down the order value, any deposit, the production timetable, the importance of the goods, and the practical cost of replacing the supplier. A small first order and a critical custom production run may need different levels of investigation.
Identify the company that will sell to you, then distinguish any separate factory, exporter, or payment recipient. The question is not simply whether a brand exists: it is whether you have enough relevant evidence about the identified business and the proposed arrangement to take the next step.
Use a checklist with evidence and open questions
Add an evidence reference, owner, and completion date beside each item. Avoid a tick-box approval that records a document was received but not whether its identity, period, and contents were checked.
| Check | Evidence to record | Question for the reviewer |
|---|---|---|
| Legal identity | Name, jurisdiction, registration number, and matching source | Are we researching the seller on the agreement? |
| Financial information | Available figures, entity, currency, units, and period | What do these records show, and what is missing? |
| Payment information | Available experiences or references with dates | How relevant is the observed history to this purchase? |
| Order dependence | Deposit, production stages, replacement lead time | Where could a supplier problem affect our business? |
| Outstanding issues | Mismatch, explanation requested, responsible person | What must be resolved before approval? |
Distinguish company research from other sourcing checks
Available business information can support a supplier review, but it does not test a product or inspect a production line. Assign product specification, capacity, quality, shipping, and payment-instruction checks to the appropriate people. A strong financial record does not answer whether the supplier can make your exact item on schedule.
The ITA separates market research and company or partner research in its due diligence resources. Company information is one part of a wider commercial review. International Trade Administration: due diligence.
Example: a custom component with a long replacement time
Suppose you are considering a supplier for a component that takes several months to replace. Even if the first invoice is modest, a production interruption could matter. Record that operational dependence alongside the financial information request. Ask which legal entity owns the supplier relationship and whether the manufacturer is a separate business.
Finish with a decision note: proceed under the agreed conditions, request more information, or refer the unresolved issue to the approving manager. The report is an input to that decision. Do not turn a checklist score into an automatic purchase approval without considering the evidence behind it.
Research the supplier behind the order
Use the identified seller and the questions in your checklist to prepare a focused company information request.
