Reconcile the account before interpreting the delay
Start with your own invoice records. Confirm the invoiced entity, due dates, currency, amount outstanding, payments received, credit notes, and disputes. A payment posted to the wrong account or an unresolved billing issue can change the picture. Preserve the original transaction history while correcting the account record.
Separate the immediate collection conversation from the decision about the next order. Your team may need to investigate both, but a new company report will not fix an incorrect invoice or establish whether a particular disputed amount is legally due.
Build a dated account review
Use facts and attributed explanations. ‘The customer says the goods were short’ is different from an internally confirmed shortage. Record who is resolving the issue and when the next update is expected.

Example: the next shipment increases an existing balance
Assume an illustrative account has USD 15,000 overdue and a new USD 8,000 order awaiting approval. If the new order becomes an unpaid invoice while the earlier balance remains unpaid, the total would be USD 23,000, before any other invoices, credits, or receipts. That arithmetic describes the potential balance; it does not determine whether the shipment should proceed.
If USD 5,000 of the old balance is disputed, show that amount separately while retaining the complete account total. Do not remove it from the review merely because a dispute exists, or describe the entire balance as undisputed. The approving person needs both the figures and the explanation.
Ask a focused question before refreshing company information
A fresh enquiry may be useful if the company’s identity has changed, existing information is old relative to the decision, or you need to understand an apparent change in its business position. Identify the question and required period rather than assuming any newly issued report contains newly available accounts.
Document the next-order decision under your own approval process, including conditions, responsible person, and follow-up trigger. Collection steps, contract rights, and legal remedies require their own appropriate review. A company report supplies business information and does not guarantee recovery of an overdue invoice.
Review the customer with current available information
Explain the entity, age of your existing information, and questions raised by the account review before selecting a report.
